Privacy statement

for participants in a student mobility

Protecting your data is of utmost importance to us. Our privacy statements for different groups of data subjects offer a brief overview of the personal data we collect and what it is used for.

We, CAMPUS 02 University of Applied Sciences (abbr. CAMPUS 02), Körblergasse 126, 8010 Graz, process personal data that arise in the context of the processing of student mobilities for incoming and outgoing students. This includes particularly the collection of data in the context of the application, the signature of the learning agreement, the cooperation with Erasmus and the partner university or the partner company.

Among others, the following categories of data are collected or processed:

Student master data: First name, last name, gender, date of birth, nationality, matriculation number, language.

Contact details: Email address, current and long-term home address (street, house number, door, country, zip code, city), phone number.

Study-specific Information: home institution, completed semesters, level of studies, subject/field of studies, receipt of a study grant, already completed stays abroad…

Information on the stay abroad: scholarship programme, contract year, expected ECTS, recognised ECTS, extension of stay, conversion of stay, host country, host institution, total stay (from-to), total length of stay (months, days), language of instruction/working language, other languages used, language courses taken, if applicable.

Other information: Special needs (e.g. diseases, impairments…), type of impairment, existing parenthood.

Bank details: bank, BIC, IBAN

Application data: data disclosed in the respective application form or sheet (e.g. master data), letter of motivation and transcript of records (if applicable).

Data taken from the Learning Agreement (particularly information from the master data sheet and details of the mobility programme)

Data contained in the application for recognition: master data, application request, degree programme, minimum academic performance, programme duration, ECTS, course(s) to be recognized, grading

Data collected after the end of the stay: Transcript of Records, selected photos if applicable, experience report, résumé.

The processing of this data is based on the fulfilment of a contractual legal relationship in accordance with Art 6 Paragraph 1 lit b EU General Data Protection Regulation (GDPR) and is carried out for the purpose of enabling and handling student mobilities

Disclosure and processing of the above-mentioned personal data is voluntary and serves to fulfil the contract. Without the disclosure and processing of your data, student mobilities are not possible.

Your personal data will be deleted 10 years after the end of the student mobility in accordance with the valid legal retention obligations.

The retention period may be extended in all cases where judicial or administrative proceedings are pending in which CAMPUS 02 has party status and in which this data is at issue.

Your personal data is treated confidentially and will primarily be processed internally by CAMPUS 02 staff. To process the student mobilities, we will pass on your data to the partner university or the partner company and to Erasmus or the National Agency Erasmus+ Education. However, data processors who have been commissioned by us can also process data for the purposes mentioned if they can ensure adequate data security. For example, the above-mentioned data categories can be viewed and processed by external IT service providers, in cases where support is required.

Please note that we will update this privacy statement from time to time (e.g. due to law amendments, usage of new technology, new study opportunities). We recommend that you regularly check it for updates.

In general, you have right of access, the right to rectification, to erasure, to restrict, to data portability, to withdraw and to object.
